QR code asset tracking with a phone

Track reusable assets with printed QR stickers and the phones your team already carries: browser scans with GS1 Digital Link, the scan app, batch mode, offline.

The lightest way to track reusable assets with Rotion is a printed QR sticker on every asset and the phones your team already carries. There is no hardware to buy and nothing to install at a site. A scan at dispatch and a scan at return give each asset a holder, a history, and an overdue date, and that is enough to see what never came back.

How does QR code tracking work with an ordinary phone?

Each asset gets a QR code that carries its own ID. Whoever hands the asset over scans it with a phone, and Rotion records who holds it, where, and against which order. When the asset comes back, the return scan closes the loop. Anything not scanned back appears on the overdue list, with the last holder attached.

A typical setup has four steps:

  1. List your assets, or send a spreadsheet to import.
  2. Put the codes on: print the label templates yourself or order printed labels.
  3. Scan on the way out, at the moment the asset is loaded or handed over.
  4. Scan on the way back, at return or at the wash.

Do partners and customers need to install an app?

No. Rotion codes follow GS1 Digital Link, so a scanned code is a web address for that specific asset. Anyone with a phone camera can open the asset's page in the browser, without installing anything, and confirm a handover or a return there. The page can resolve on your own domain, so a customer sees your brand.

Can a phone count a whole stack in one pass?

Yes, when every asset in the stack carries a code. In batch mode, the scan app reads the QR codes in a stack through the phone camera, and the count and the IDs land in one event, matched to the order. A count that does not match the delivery note becomes an exception right away, and a photo of the stack can be kept as proof of handover.

Batch mode reads codes, so it needs each code in the camera's view. For flows where assets pass in volume without anyone handling them, RFID dock portals do the reading instead.

What does QR tracking cost per asset?

A printed QR label costs about €0.05 to €0.15 per asset (indicative, 2026), depending on material: laminated or laser-etched labels last the life of most crates and trays. There are no batteries, no readers, and no per-scan fees. That is what makes per-asset tracking viable for fleets of low-value crates, not just a few hundred high-value containers.

Where does QR tracking stop being enough?

QR codes need line of sight and a person. They work wherever someone already handles the asset: handovers, deposit counters, return points, washing and repair. They do not work for whole pallets passing a dock door unscanned, or for assets that sit somewhere nobody looks.

Those flows get a second carrier on the same asset: passive RFID at the busiest docks, or BLE where a location between scans matters. The record stays the same. See which tracking technology fits your reusable assets.

Does scanning work without mobile coverage?

Yes. The scan app queues scans on the device when there is no connection, in cold stores, trucks, or basement docks, and syncs them once coverage returns. Offline-captured events are marked as such, so the audit trail shows how each scan arrived.
